Project Support and Reporting Officer
Organizational Context and Scope
Under the overall supervision of the Chief of Mission (CoM)/Head of Programme and the direct supervision of the Migrant Protection, Return and Reintegration (MPRR) Programme Manager, and in close coordination with the Project Support Unit as well as relevant units at the Country Office in Guinea, the Regional Office in Dakar, the Global Office in Brussels, and Headquarters (HQ), the Project Support and Reporting Officer will provide programme support, coordination, and reporting services, with a primary focus on supporting the implementation and reporting requirements of the MPRR project in Guinea.
Responsibilities
- Support the implementation, coordination, and reporting of projects, with a primary focus on MPRR-funded activities, ensuring compliance with approved programme documents, donor requirements, and IOM policies and procedures.
- Coordinate with Project Managers, technical units, and support units to collect, consolidate, review, and validate project data and inputs required for donor and institutional reporting, ensuring accuracy, consistency, and timeliness.
- Support the preparation, review, and submission of donor and institutional reports, including narrative and results-based components, in close coordination with relevant units in the Country office, Regional Office, Global Office in Brussels, and Headquarters
- Maintain accurate, up-to-date, and well-organized programme documentation, correspondence, reporting files, and records in the Country Office`s relevant information management and reporting systems, ensuring audit readiness and institutional accountability.
- Support effective working relationships with donor counterparts and project/programme partners, such as government authorities, diplomatic missions, and other relevant agencies and working groups.
- Provide mission-wide project support by contributing to institutional reporting, briefing notes, internal coordination processes, and consolidation of information requested by senior management.
- Assist in coordinating internal and external programme-related communications, including information requests from donors, partners, and stakeholders, in close collaboration with relevant units, and organize donor briefings and visits.
- Conduct capacity building and training activities in the field of programme support, including project management, monitoring, and reporting, through workshops and seminars.
- In support of knowledge management, maintain accurate, updated, and pertinent records of all correspondences, project documents, reporting tools, templates, lessons learned, and good practices, promoting consistency and quality across projects and programmes.
- Perform such other duties as may be assigned.
Qualifications
Education
- Master's degree in International Relations, International Development, Political or Social Sciences, Migration Studies, Law, or a related field from an accredited academic institution with two years of relevant professional experience; or,
- University degree in the above fields with four years of relevant professional experience.
Experience
- Experience in project support functions, including coordination, monitoring, implementation follow-up, and donor and institutional reporting, preferably in the international development/humanitarian sector;
- Experience supporting results-based reporting, including collection, consolidation, and validation of project data and contributions to narrative and results frameworks;
- Experience working with EU-funded projects, ensuring compliance with reporting requirements, timelines, and documentation standards; and,
- Experience liaising with internal and external stakeholders to support effective project implementation and reporting processes.
Skills
- Good communication, writing and organizational skills; with the ability to prepare clear, accurate, and concise donor and institutional reports;
- Working knowledge of monitoring, evaluation, and results-based management concepts, approaches, methodologies, and tools;
- Strong attention to detail and ability to manage multiple reporting deadlines under pressure while maintaining accuracy and quality;
- Ability to establish and maintain effective working relationships with colleagues from diverse cultural and professional backgrounds, governmental authorities, national and international institutions and Non-Governmental Organizations;
- Capacity to support knowledge management, documentation, and information management processes; and,
- Good level of computer literacy, including experience with databases, reporting tools, and standard office applications.
Languages
All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).
For this position, fluency in English and French is required (oral and written).
Working knowledge of another official UN language (Arabic, Chinese, Russian and Spanish) is an advantage.
