We are seeking a self-motivated and results-driven Operations & Supply Chain Officer to join our dynamic team. Reporting to the Operations & Supply Chain Manager, the successful candidate will provide administrative and operational support across procurement, warehousing, logistics, fleet management, and supplier coordination to ensure efficient and timely delivery of goods and services.
Key Performance Areas (KPAs)
1. Procurement Support
- Assist in obtaining quotations from suppliers and compiling comparison schedules.
- Support preparation and processing of purchase orders.
- Follow up with suppliers to ensure timely delivery of goods and services.
- Maintain updated procurement records and filing (physical and electronic).
- Assist in procurement month-end reporting and documentation.
- Support tracking of purchase orders until closure.
2. Warehousing & Inventory Co-ordination
- Assist in maintaining accurate stock records and documentation.
- Support periodic stock counts (weekly, monthly, and annual).
- Ensure proper filing of stock reports and inventory records.
- Liaise with warehouse staff to track stock movement and availability.
3. Fleet Administration
- Coordinate vehicle servicing schedules and maintenance bookings.
- Maintain updated records of vehicle servicing, insurance, and licensing.
- Administer and monitor fuel cards for company vehicles.
- Track fuel usage and prepare fuel consumption reports.
- Handle queries with fuel suppliers regarding fuel cards (e.g., transaction issues, card replacements, activation/deactivation).
- Support monitoring of fleet utilization and reporting.
4. Supplier Coordination
- Maintain and update supplier database and contact details.
- Follow up with suppliers on orders, deliveries, and documentation.
- Assist in coordinating product returns, warranties, and after-sales support.
5. Logistics & Distribution Support
- Assist in coordinating deliveries and dispatch of goods to various locations.
- Track movement of goods from suppliers to warehouse and to customers.
- Support preparation of delivery documentation (delivery notes, dispatch records).
- Assist in monitoring logistics timelines and reporting delays.
6. Administration & Compliance
- Maintain proper filing and archiving of procurement and logistics documents.
- Ensure documentation complies with company policies and procedures.
- Assist in maintaining Standard Operating Procedures (SOPs).
- Support compliance with procurement and supply chain regulations
7. Reporting & Data Management
- Assist in preparing weekly and monthly reports for procurement, stock, and logistics.
- Update spreadsheets and systems with relevant supply chain data.
- Support data analysis for stock levels, deliveries, and procurement trends.
Qualifications & Experience
- Diploma or Degree in Purchasing & Supply, Supply Chain Management, Logistics, or a related field.
- Minimum of three (3) years’ proven experience in operations support, logistics, and supply chain management.
- Strong working knowledge of warehouse operations, inventory control, and fleet management practices.
- Demonstrated ability in communication, negotiation, and problem-solving, with a proactive and solution-oriented approach.
- Proficiency in report writing, data analysis, and use of ERP/CRM systems
- Valid driver’s license with willingness to travel as required.
